What a digital cleaning record documents

Every scan records who completed a service in which zone and when. If needed, the staff member adds further details.

• Who, when and where: staff member, timestamp and zone
• A task list per zone that is ticked off at check-in
• Photo, signature and status note, each optional
• The time the service took (time tracking)

How the cleaning record works in four steps

1. Generate QR signs in the admin area, print them and put them up in the zones.
2. The staff member scans the code and confirms the service round with one click.
3. The record appears instantly in the service manager real-time dashboard.
4. Service reports can be exported as PDF with logo, signatures and photos, overviews as Excel.

Paper list, Excel or digital record?

Paper sheets can get lost, be forgotten or be filled in afterwards. A digital cleaning record is created at the moment of the scan, carries a timestamp and is stored tamper-proof.

The service manager does not have to wait for lists to be handed in. The dashboard shows overdue zones based on the service frequencies you have set.

Not just for cleaning

The same principle works for any recurring service, for example in offices, hotel rooms, vacation rentals, equipment checks or safety rounds. You define zones and tasks freely.

Record and guest feedback in one system

Guests scan the same QR code and report problems immediately. So you see not only that cleaning took place, but also how it is received by guests.

Privacy and hosting

ScanQM is hosted in a German data center that is ISO/IEC 27001 certified. Staff names can be pseudonymized in external outputs, and the settings are configurable per tenant.
